Planning a school trip: a checklist for teachers

By Team Carabiner Diaries · Updated

Quick answer: Permissions, ratios, medical forms and the questions to ask any tour operator.

A good school trip is mostly paperwork done early. Here is the checklist we work through with every school.

  • Management approval and a written itinerary
  • Parent consent forms with medical details and emergency contacts
  • A ratio of at least one adult to every ten students
  • Separate rooms for boys and girls, with a teacher on each floor
  • A first-aid kit and the nearest hospital on every route
  • Vegetarian and allergy-safe meal plans

Questions to ask any tour operator

  1. Are your escorts trained in student safety and first aid?
  2. Are the vehicles insured and the drivers verified?
  3. What happens if a student falls sick?
